What are alternate formats?

Alternate Formats is an approved accommodation that provides students with course materials in a format that is accessible based on the impacts of their disability. Materials may be converted into formats such as accessible electronic text, audio, braille, large print, captioned media, or other accessible versions that improve access to course content. Approved accommodations are outlined in the student's Academic Adjustment Plan

Using Alternative Formats with Assistive Technology

Students may use alternate-format materials with assistive technology, which refers to devices, software, or equipment that improve access to information and learning. Common examples include:

  • Screen readers that convert text into synthesized speech
  • Text-to-speech software that reads digital content aloud
  • Refreshable braille displays
  • Screen magnification software
  • Speech-to-text programs
  • Closed captioning and transcription tools
  • Reading and learning support software

Alternate formats and assistive technology often work together to ensure students can access, perceive, and engage with course materials in ways that are effective and consistent with their disability-related needs.

Important Information for Students

To receive alternate-format materials, students must:

  1. Share and review the Academic Adjustment Plan with your instructor.
  2. Discuss accommodations with your instructor.
  3. Request alternate-format materials through the Student Module if needed.
  4. Contact Disability Resources with any questions as early as possible.

Important Information for Instructors

  • Students may use alternate-format materials with their assistive technology, such as screen readers, text-to-speech software, magnification tools, or braille technology.
  • Alternate formats provide access to course content and do not alter course requirements, learning outcomes, or academic standards.
  • Disability Resources is available to assist with questions about accessible materials and accommodation implementation.

Instructor Facilitated Accommodation Types

Alternate Format of Course Material Provided by Instructor: Enlarged Print

  • Paper documents provided in the course must be printed in a minimum 16-point font.
  • Enlarging some material (manipulatives/images/charts, etc.) may compromise its integrity or may not be possible, and personal portable magnification may be a better alternative for the student.
  • Please communicate with the office if you have material that cannot be enlarged.

Alternate Format of Course Material Provided by Instructor: Accessible Electronic Version

Policy 909 Digital Accessibility establishes that all course materials, including documents, tests, articles, and other materials provided to the class, must be accessible. Use best practices for making and converting accessible documents and course content.

ODR Facilitated Accommodation Types

Electronic Format of Books

The Campus Store’s Textbook Rental Program provides approximately 80% of textbooks and course materials in digital format. These digital materials contain several accessibility features, including magnification and Read Aloud (text-to-speech).

For textbooks not available in electronic format, students with print-related disabilities can request an accessible digital format from Disability Resources by completing the request form in the Student Module. Please note that proof of purchase or rental is required.

Physical Format of Books

Students who prefer physical textbooks or course materials can opt out of the rental textbook program each term and purchase physical textbooks from an outlet of their choice.

Students with disabilities that prevent them from using digital materials are encouraged to contact Disability Resources prior to the semester beginning to discuss possible accommodation options.
